Digital Transformation: Modernizing Legal Workflows with Odoo
In this article, you will discover how we provided a law firm with a powerful and practical tool for their everyday operations. Essentially, Enterprise Resource Planning (ERP) integrates several business areas—such as sales, purchasing, and finance—into a single software suite. By doing so, companies can follow best practices and streamline their standard processes.
Previously, this legal team of four to six lawyers relied on an outdated and old-fashioned way of working. Consequently, they felt it was the right time to replace their fragmented systems with a tailor-made ERP. After an initial briefing and a thorough discussion about their essential needs, we decided to present a unified solution.
The primary goal was to help the client organize their entire information structure. In addition, they needed to unify all their tools—including cases, contacts, billing, and expenses—into just one platform. Therefore, we chose Odoo ERP, an open-source platform. To ensure the best results, we designed it exclusively with native apps, plugins, and custom code tailored to their specific legal workflows.

A Structured 6-Step Implementation Process
Initially, we divided the project into six strategic phases to ensure a smooth transition to the new system. These steps included:

To provide a complete solution, we implemented several features that allow the client to manage their firm more efficiently. Specifically, the platform now offers:
- Have all company confidential information/materials in a encrypted personal cloud
- Organize their cases, including additional documentation such as pdfs and docs that are associated
- Create a login sign up and onboarding that helps our client’s user navigate and use the platform
- Create an easy payment system that optimizes the payment process
- Create a documentation upload system that helps our client load his files to the legal process
- Know when important documentation is expiring, through an automation system
- Certificated billing according to the Portuguese billing system
- Upload expenses from the legal team to the system and connect them to each case
- Create a different user from legal advocates to clients with different permissions
- Use the chat app to communicate and send documents with the legal team

In short, the law firm has moved away from using multiple fragmented tools like Google Drive, Outlook, and Magnifinance. Instead, they can now manage their entire workflow within a single, unified platform. Ultimately, time-saving and convenience became the key drivers of success for this project, allowing the team to operate with much higher precision.
